An appointment reminder text should name your business, state what the appointment is for, give the date and time, and tell the customer what to do next. The brief tone in the generator keeps all four within a single SMS segment of 160 characters.
The customer's first name and your business name matter most. A message from an unknown number that opens with a name and a familiar company is read as a courtesy. One without them looks like spam.
Send the appointment confirmation text as soon as the booking is made, a reminder the day before and a second reminder on the day. The confirmation tells the customer the booking worked, and the reminders bring the appointment back to mind when it is close enough to plan around.
A fourth message belongs after a missed appointment. It offers a new time while the customer still remembers why they booked, and it recovers appointments that would otherwise be lost. You can measure the effect with the no-show rate calculator.
You use an appointment reminder template in GoHighLevel by pasting it into an SMS action inside a workflow that starts from an appointment trigger. Add “GoHighLevel merge fields” in the generator and each message will carry the fields HighLevel fills in when it sends.
| Detail | HighLevel merge field |
|---|---|
| Customer's first name | {{contact.first_name}} |
| Appointment date | {{appointment.only_start_date}} |
| Appointment time | {{appointment.only_start_time}} |
| Reschedule link | {{appointment.reschedule_link}} |
The field names come from HighLevel's list of merge fields. For any other tool, generate the messages with placeholders and swap in that tool's own fields.
Reminders depend on the form because a reminder can only reach a phone number that was typed correctly. They also work best on customers who described a real need when they booked.
Growform checks the format of every phone number on the form, and Twilio Lookup validation can confirm the number while the customer is still there to correct it. A consent checkbox with your own wording records that the customer agreed to receive texts. Every appointment reminder text template on this page assumes you have that agreement.
Enter your business name and the kind of appointment, written as you would say it to a customer.
Pick the tone that suits your customers. The messages are ready at this point, with placeholders in square brackets.
The options under the fields add GoHighLevel merge fields, a reschedule link or a fixed date and time.
Paste the four texts into your workflow. The character count under each one shows how many SMS segments it uses.
A reminder sequence protects a booking. The form that produced the booking decides how much there is to protect.
Short steps ask about the job, the property and the timing ahead of the contact details.
For UK numbers, the “Allow mobiles only” option accepts mobile numbers and turns away landlines.
The TOS Checkbox carries your wording and links to your terms and privacy policy.
An inbound webhook creates the contact, and your HighLevel workflows run as they did before.
A single SMS segment holds 160 characters in the standard alphabet. Longer messages are split into segments of 153 characters, and each segment is billed separately.
You should have the customer's agreement to receive texts from you, and the rules differ by country. Ask for it on the booking form, keep a record, and take advice on the law where you operate.
Asking for a reply gives you an early signal. A customer who answers YES has recommitted to the time, and one who stays silent can be called before the slot is wasted.
Yes. The wording suits an email as well, where you have room to add the address, directions and anything the customer should bring.
