No-show rate
This tool runs in your browser. Nothing you enter is sent or stored.
No-show rate is the number of missed appointments divided by the number of appointments booked, multiplied by 100. A sales team that booked 80 appointments and had 24 people fail to attend has a no-show rate of 30%.
Appointments that were cancelled or moved in advance are usually left out of the missed count, because the slot could be offered to someone else.
Show rate is the share of booked appointments that were attended, which makes it the no-show rate subtracted from 100. The example above has a show rate of 70%.
Appointment-setting agencies tend to quote show rate, and clinics and service businesses tend to quote no-show rate. The tool works as a show rate calculator as well, since both figures appear in the results.
Missed appointments cost you the value of each appointment multiplied by the number missed, and the ad spend that produced them is already gone. At 450 per attended appointment, 24 no-shows in a month represent 10,800 of lost value.
The cost is sharper for an agency paid per appointment that shows. Every no-show is a lead the agency bought, qualified and booked without being paid. Put a price on that lead with the cost per lead calculator.
You reduce no shows by booking people who mean to attend, confirming the right phone number and reminding them before the appointment. The first two are decided on the form, before the booking exists.
A Growform form asks about the project and the timing first, so a booking reflects a real need. Phone validation checks the number while the lead is still on the form, which means your reminders have somewhere to go. For the reminders themselves, the appointment reminder text generator writes a confirmation, two reminders and a follow-up for anyone who misses the slot.
Choose a period, such as last month, and count every appointment that was scheduled in it.
Count the people who did not attend. Leave out anyone who cancelled or rescheduled ahead of time.
The value shows what no-shows cost you. The target shows what a better rate would be worth each month.
People keep appointments they asked for with accurate details. The form is where both are settled.
Qualifying questions come before the contact step, so the lead has described the job before booking.
Every phone field checks the format for its country, and Twilio Lookup can validate the number in real time.
A custom ending can confirm what happens next, show a short video and link to your booking page.
A webhook or Zapier passes the lead to GoHighLevel or your scheduling software, where reminders begin.
Most teams count them separately. A cancellation gives you notice, and a no-show leaves the slot empty with no chance to fill it.
Measure it monthly, and weekly while you are testing a change such as a new reminder. Use the same definition of a missed appointment each time.
A few short questions spread across steps feel lighter than one long page. The bookings you do receive come from people who have told you what they need.
The right figure depends on how the appointment was booked and how far ahead. Track your own rate, set a target a few points better, and use the calculator to see what reaching it would return.
The calculator measures no-shows in money as well as in percentages.
