Autotask integration for web forms

Take service requests and sales enquiries through a multi-step form and have each one created in Autotask as a ticket, an opportunity or a new company and contact. Your service desk starts with the details, not a phone call.

Open Autotask tickets and opportunities from a form

Autotask is the professional services automation platform MSPs run their business on, covering the service desk, CRM, projects, contracts and billing in one system, and it now sits within Kaseya alongside Datto. Everything in it starts from a company, a contact, a ticket or an opportunity. Connecting Growform to Autotask creates those records from a completed form, so a request on your website is in the queue, assigned and categorized before anyone reads an email.

Two forms do most of the work for an MSP. A support request form on the client portal page asks what is affected, how many users and how urgent across short screens, then creates the ticket with the priority set from the answers. A quote form on the marketing site asks for the company size, the current setup and the services wanted, then creates the company, the contact and the opportunity. Growform's conditional logic shows the technical questions only to people reporting a problem, and hidden fields carry the ad campaign into the opportunity.

Available actions

These Autotask actions are available to a Growform submission:

  • Find Company

Looks up the company by name or another field, and can create it when none matches, so existing clients keep one record.

  • Create Company

Creates the company with the address and phone from the form, for a new prospect.

  • Create Contact

Adds the person who filled in the form as a contact on the company.

  • Create Ticket

Opens a service ticket with the title, description, priority and queue set from the answers.

  • Create Ticket Note

Adds the full set of answers to the ticket as a note for the technician.

  • Create Opportunity

Creates a sales opportunity for the company, with the stage, amount and description from the form.

  • Update Opportunity

Moves an existing opportunity on when the same prospect completes a later form.

How does it work?

Autotask publishes its company, contact, ticket and opportunity actions on Zapier, and Growform's New Form Submission trigger feeds them. You map the form's fields to Autotask's fields once, choose the queue, priority and stage defaults, and switch the Zap on. Each completed form then creates its records within a few minutes.

Three setups are common. An MSP replaces the submit-a-ticket email address with a multi-step form that finds the company, adds the contact and opens the ticket in the right queue. A sales team runs a network assessment request form that creates the company, contact and opportunity, with the UTM campaign written into the opportunity description. An onboarding team uses an internal form that creates the tasks for a new client rollout.

  1. Step 1: Choose the Autotask queue, priority and stage defaults

Decide which queue tickets should enter, how priority maps from the urgency question and which pipeline stage new opportunities start in. The Zap sets these per submission.
  2. Step 2: Build the form in Growform

Create a free Growform account, start from the IT support template or a blank form, and ask for the company name and work email on the last step so Autotask can match the company.
  3. Step 3: Connect through Zapier and map the records

Choose Growform (Latest) as the trigger and New Form Submission as the event, sign in with the API key from your Growform account page, then add Autotask's Find Company action followed by Create Contact and Create Ticket or Create Opportunity, and map the fields. Submit a test from Preview form, check the ticket and switch the Zap on.
Can a submission create both the contact and the ticket?

Yes. A Zap runs its actions in order, so Find Company and Create Contact run first and Create Ticket uses the company and contact they return.

How is ticket priority set from the form?

Map the urgency question to Autotask's priority field in the Zap. A single-choice field with the same options as your priorities maps one to one.

Can existing clients and new prospects use the same form?

Yes. Find Company matches an existing company and can create one when nothing matches, so the same form serves a client raising a ticket and a prospect asking for a quote.

Will the form work on our client portal and marketing site?

Yes. Growform forms embed with one snippet on any site, including WordPress, Webflow and Unbounce, and can also run as a standalone page on your own domain.
