Tenant application form template

This five-step tenant application form asks the move-in date, household size, monthly income and employment status, followed by the contact details. You can clone this template straight into your Growform account and add your own screening questions.

What the form asks, step by step

The application starts with the move-in date and ends with contact details. The questions between them cover the household and its income.

  1. Step 1: “When would you like to move in?”

A move-in window shows whether the applicant fits the date the home is available.

  2. Step 2: “How many people will live in the home?”

Household size is checked against the number of bedrooms and any occupancy limit.

  3. Step 3: “What is your household’s monthly income?”

Income bands allow a first comparison with the rent before any documents are requested.

  4. Step 4: “What is your employment status?”

Employment status indicates which proof of income you will ask for later.

  5. Step 5: “How shall we contact you about the property?”

Name, email and phone come last.

  6. After submitting

The applicant reads that the landlord will review the application and be in touch.

Who it’s for

This template is for landlords, property managers and leasing agents who receive more inquiries than they have viewings to offer. Linked from a listing, it works as a first tenant screening form that tells you when the applicant wants to move, how many people will live in the home, the household income band and the employment status. It does not run credit or background checks and it does not collect documents, so it sits before your full application. In the United Kingdom the same form is usually called a tenancy application form.

The rental application template asks about the property the renter wants instead.

Why this structure converts

  • The first question is about the move-in date, which every applicant has already thought about.
  • Income is asked in bands on step three, which feels less intrusive than typing a salary.
  • No documents are requested, so an applicant can finish the form from a listing on a phone.

Make it yours

  • Set bands around the rent

Change the income bands so that one boundary matches your minimum requirement, for example three times the monthly rent.

  • Add a guarantor question

Students and first-time renters often need a guarantor. Add a yes or no question about one so that you know when to send a guarantor form.

  • Ask about pets

If your properties have a pet policy, add a button question about pets after the household step.

Frequently asked questions

Which details does this tenant application form collect?

It collects the move-in date, the number of occupants, the household’s monthly income band, the employment status and the applicant’s name, email and phone number.

Is this a full tenant screening form?

No. It is a first stage that helps you decide who to invite to a viewing. Credit checks, references and identity documents belong in the application you send afterwards.

Where are the applications sent?

Each application is emailed to you. You can also send applications to LeadSimple, Airtable or a Google Sheet to compare applicants side by side.
